Operations Manager

Job Summary

The Operations Manager is a multi-faceted and hands-on position that oversees all business operations for the field department and ensures cost-efficiency, safety, compliance, and labor optimization. Operations include managing field personnel, supply, routing, customer orders for transport and wholesale, the fleet and other related transactions. The Operations Manager formulates and recommends policies and programs which guide the company in maintaining and improving its competitive position and profitability, communicates and builds a rapport with clients and other external business partners, and is responsible for the support, supervision and development of direct reports, which includes the all-field employees, drivers, and mechanics. 

Education and Experience

1st Preferred 

  • Bachelor’s degree in business administration or related major, or equivalent combination of education and experience
  • Five (5) years’ experience in the propane, or other fuel, and transport industry
  • Three (3) years’ experience in a leadership or supervisory role
  • Class A Driver License Required – Hazmat and Tanker Endorsements
  • Strong computer skills, including MS Office Word, Excel, and QuickBooks experience
  • Must have reliable transportation and ability to travel 

2nd Preferred 

  • Associate’s degree in business or related major, or equivalent combination of education and experience
  • Five (5) years’ experience in the transportation industry
  • Five (5) years’ experience in a leadership or supervisory role
  • Class A Driver License Required – Hazmat and Tanker Endorsements to be obtained
  • MS Office Word, Excel, and QuickBooks experience preferable
  • Must have reliable transportation and ability to travel

Primary Job Duties

Compliance

  • Keeps abreast of and is responsible for industry code and regulation compliance and company policies.
  • Keeps up to date on information and technology affecting functional area(s) to increase innovation and ensure compliance.
  • Ensures standards of equipment and operation performance are maintained, and cost-effective technology is used to maximize operation efforts; ensures fixed assets are preserved; initiates recommendations on purchases of new equipment and other fleet improvements.

Field Operations

  • Advises management on labor issues including safety, security, staffing needs, employee relations, scheduling, training, grievances, and the like; ensure employees comply with company policies and administer practices in a fair and equitable manner.
  • Makes hiring decisions, trains, develops, and appraises employees effectively, taking corrective action as necessary on a timely basis and in accordance with company policies
  • Maintains active and ongoing communication with business partners and clients, building positive business relationships, providing information, requesting and receiving product orders, and scheduling product deliveries and pick-ups.
  • Communicates with Transport and Wholesale Customers on new delivery orders.
  • Dispatches the Transport Drivers for product deliveries and pick-ups, manages their schedules, and reviews and approves the pay owed. 
  • Processes Transport and Wholesale load invoices and billing to customers.
  • Develops and maintains distribution and delivery routes and schedules for the Transport, Bobtail Drivers and Service Technicians.
  • Maintains business records, produces invoices, enters order data into the company’s database.
  • Works closely with the office operations staff to ensure efficient operations between the departments.
  • Develops, monitors, and reports on operating costs within functional areas; alerts management of cost and labor overrun; recommends and implements solutions to problems related to same.
  • Oversees supply inventory of parts, fuel and tanks and the process to reorder through a PO system and cost comparisons.

Fleet Maintenance

  • Responsible for the fleet maintenance budget, including labor costs, parts and supply costs, inventories, and spending for the fleet maintenance operation.
  • Supervises the mechanic/s, supports, schedules and dispatches for services.
  • Monitors the progress of repair jobs, checking quality of work performed, and resolving issues with contractors and part providers as needed.
  • Estimates costs for repairs, consulting with management regarding budget limits, and approving maintenance and repair work orders.
  • Works directly with external contracted providers when outsourcing work is required.
  • Confirms all maintenance and repair work is completed before putting units back on the road by testing and rechecking all repairs.
  • Monitors utilization of all equipment to ensure that the fleet is right sized, replacement and disposal of fleet vehicles.
