Job Summary

Interact with customers to provide information in response to inquiries about products and services, schedule and dispatch appointments, and process orders and payments.

Education and Experience

  • High School Diploma - or the equivalent
  • Three (3) years of related experience
  • MS Office Word and Excel, 10key and calculator experience
  • Experience with QuickBooks preferred 
  • Google Drive experience

Work Context

In an office setting, this position requires prolonged periods of sitting at a desk and working at a computer; may be required to stand and walk, stoop, kneel, bend, crouch or crawl regularly. The employee must occasionally lift and/or move up to 25 pounds. Performing the regular duties of this job, requires constant interaction with SoCal Propane management and administrators, partners, and customers. While performing the duties, the employee is regularly required to use written and oral communication skills through active listening and effective oral communication in person, via phone and virtually; read and interpret information; analyze and solve problems; observe and interpret people and situations; use basic math; and learn and apply new information or skills. 

Primary Job Duties

  • Serve as first point of contact for clients thus setting the tone of their experience.
  • Remain current on product offerings, staff member pricing, and the time needed to conduct certain services
  • Assist customers by telephone, in person, email, or virtual chat, providing information about products and services, maintaining pleasant demeanor and commitment to customer service.  
  • Enter appointments into shared electronic calendar, confirm appointments, receive and enter orders, schedule services, and take payments.
  • Complete contract forms and paperwork, prepare and maintain customer files.
  • Enter and process batch billing and invoicing using computer software.
  • Obtain directions through use of mapping technology as needed, create routes, and provide directions to the assigned field employees.
  • Schedule drivers for services; consolidates services for specific destinations, assigns the most efficient routes for each driver.
  • Is aware of terrain and weather complications along routes and at drivers’ destinations; communicates delays and route changes as necessary.
  • Maintain phone and/or text contact with drivers; receive and dispatch response and emergency aid when needed.
  • Maintain and review paper and electronic billing and operation records; monitor paperwork and reports for errors and/or compliance violations.
  • Resolve customers' service or billing complaints and redirect to management as needed
  • Perform other related duties as assigned.
