Administrative Assistant

Job Summary

Provide administrative support with varied assignments requiring general knowledge of office systems and procedures, including file organization and maintenance, creating and managing lists and reports, producing and revising business documents, monitoring compliance.  

Education and Experience

  • High School Diploma - or the equivalent
  • Some College Courses
  • Associate Degree preferred
  • Experience with DOT and OSHA compliance highly desirable 
  • MS Office Word and Excel experience
  • Google Drive experience

Other Qualifications

  • Knowledge of clerical procedures and systems such as data entry, filing, record keeping, and other office procedures and terminology.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Knowledge of principles and processes for providing customer and personal services.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.

Work Context

In an office setting, this position requires prolonged periods of sitting at a desk and working at a computer; may be required to stand and walk regularly, and stoop, kneel, bend, crouch, or crawl occasionally. The employee must occasionally lift and/or move up to 25 pounds. Performing the regular duties of this job, requires constant interaction with SoCal Propane management and administrators, clients, and partners, and some interaction with the public. While performing the duties, the employee is regularly required to use written and oral communication skills through active listening and effective oral communication in person, via phone and virtually; read and interpret information; analyze and solve problems; observe and interpret people and situations; use basic math; and learn and apply new information or skills. 

Primary Job Duties

  • Provides a variety of complex administrative support by managing a wide range of administrative ongoing and special processes and projects.
  • Creates and prepares documents, marketing materials, business reports, charts and graphic presentation materials.
  • Ensures executive leader is apprised of ongoing issues, inquiries, and requests; facilitates coordination opportunities and provides a status of outstanding project deadlines.
  • Provides support to the administrative and operations teams and assists with special projects and assignments as needed.
  • Communicates with employees, vendors, and other individuals to answer questions, disseminate, or explain information, coordinate projects, and complete orders and transactions.
  • Responsible for maintaining and monitoring various paper and electronic files, records, and reports to ensure ongoing compliance with safety, federal and state regulations, and internal protocols, policies and procedures.
  • Assists in coordinating fleet maintenance and repairs and processing all necessary permits and registrations.
  • Monitors and tracks expiration dates, deadlines, timelines, inspections, and their outcomes.
  • Creates, processes and tracks purchase orders.
  • Maintains records of orders and inventory and follows up with vendors on shipment and delivery.
  • May negotiate best vendor terms, pricing and delivery based on specific budget and schedule requirements.
  • Compute, record, and proofread data and other information, such as records or reports; and type, format, and edit documents.
  • Assists in maintaining operational procedures current.
  • Participates in and assists with safety meetings and other staff meetings and provides office backup support as needed.
